3. Contact and Recipient Data Collection

Optional Contact Collection

You have control over whether recipient email addresses are saved:

  • When Disabled (Default): Recipient email addresses are processed in real-time during sending and are not stored in our database. Only aggregate metrics (total count) are retained.
  • When Enabled: If you enable the "Save Email Addresses" feature in your account settings, we store recipient email addresses along with campaign history, send timestamps, and engagement metrics to help you manage your contact list.

Bounce and Complaint Data

Regardless of your contact collection setting, we automatically collect and store information about bounced emails and spam complaints to:

  • Prevent future delivery attempts to invalid addresses
  • Protect your sender reputation and domain standing
  • Comply with email service provider requirements

This includes the recipient email address, bounce type (permanent or temporary), bounce count, diagnostic codes, and complaint feedback when provided by the recipient's email provider.

4. Email Tracking and Analytics

To provide you with engagement analytics and campaign performance metrics, we use tracking technologies:

  • Open Tracking: We embed a small, transparent tracking pixel in emails to detect when they are opened. This collects the time of opening and basic technical information.
  • Click Tracking: We wrap links in your emails with tracking URLs that record when recipients click them before redirecting to the intended destination.
  • Technical Data: When tracking events occur, we collect user-agent information (browser/device type) and IP addresses for analytics purposes.

Important: Individual recipient email addresses are not stored with tracking events. We only retain aggregate metrics such as total opens, clicks, and campaign-level statistics.

5. How We Use Your Information

We use collected information to:

  • Provide and maintain the Service
  • Process and deliver your emails
  • Monitor and analyze usage patterns
  • Improve our services and develop new features
  • Communicate with you about updates and support

  • Digital Ocean Spaces: Cloud storage for file attachments (PDFs)
  • Beefree: Email template builder and editor
  • Sentry: Error monitoring and application diagnostics

We may also share your information in the following circumstances:

  • Business Transfers: In connection with a merger, acquisition, or sale of assets

  • Bounce/Complaint Records: Retained indefinitely to prevent future sending to problematic addresses and protect sender reputation
  • Unsubscribe Records: Retained indefinitely to honor unsubscribe preferences
  • File Attachments: Retained until you delete them from your account
  • Templates: Retained until you delete them from your account
